Using a Company Vehicle from Norton
•Reserve vehicles in Outlook on the “Company Car Calendar.” Have someone from IT add the calendar if you don’t yet have it. Vehicles are parked in the warehouse. Choose from:
#1 – 2019 White Dodge Durango
#15—2016 Tan Chevrolet Equinox (this is the mail car so coordinate with Customer Service staff)
#33 – 2018 White Dodge Durango (Kirk’s—ask him directly if no other vehicles are available.)
•Upon entering the vehicle, write down the mileage.
•Upon return, fill up with gas at the pumps in the pole yard. Check the fuel gauge to see if the arrow is pointing to the passenger side or driver side.
Pull up to the correct pump. (The one on the left is unleaded—the right is diesel.)
Use the keypad to enter the car number, then press enter.
Add your employee number as a 4 digit number. Add zeros at the beginning to get to four digits if necessary. Press Enter.
(Hint: You can find your employee number on the Employee Self-Serve website under “employee information/employee overview”)
Enter the pump number. The left (unleaded) is 1 and the right (diesel) is 2.
Retrieve the nozzle and insert it into the tank of the car.
Toggle the switch below the keypad up, into the on position.
Fill up the vehicle.
Toggle the switch to off, and replace the nozzle where you found it.
•Return the vehicle to the warehouse. Write down the mileage. Calculate the miles used to enter them into your time sheet later.
•Go to the Employee Self-Serve website and click “time entry.”
On the column for the date you used the car, click on the pencil icon next to the box where you enter your hours.
Click “add row.”
Click “usage.”
Click the binoculars under Fleet Asset. Enter the vehicle number in the fleet asset field. Hit enter.
Click “select” next to the appropriate vehicle.
Under “usage,” enter the number of miles used. Under “actual reading,” change the number to the mileage you wrote down at the end of your trip. Don’t panic if the number you are replacing doesn’t match what you wrote down at the beginning of your trip. Someone may not have entered their trip yet. 😊
Change the date to the day of your return. Select the state you travelled to from the list.
Click ok, then click save.
